Please review all details carefully to ensure a smooth experience for the event. To ensure a successful and enjoyable event for everyone, please review and adhere to the rules and regulations provided.

A note from our volunteers

Please be mindful that we are volunteers doing our best to make this a great event for the Village of Shepherd and the Maple Syrup Festival. We truly appreciate your patience and kindness as we work to support and bring the community together.

Event details

Event dates and times: 

  • Friday, April 24: 3-7 p.m.

  • Saturday, April 25: 8 a.m.-7 p.m.

  • Sunday, April 26: 8 a.m.-12 p.m. 

Check in and set up:

  • Friday, April 24: 9 a.m.-2 p.m.*

  • Saturday, April 25: 7 a.m.

  • Sunday, April 26: 7 a.m.

*Vendors must sign up for a check in time slot. See the check in, unload, park and set up instructions section.

Vendors do not need to check in Saturday or Sunday.

 

Policies & procedures

Event set up & tear down

  • Vendors shall ensure that their booth setup remains within their designated space and does not encroach on neighboring vendors or shopper walkways. Any vendor exceeding their designated boundaries will be required to adjust their display immediately upon request.

  • Vendors will follow the check in, unload, park and set up instructions provided.

  • All booths must be fully set up and operational by the start of the event and remain open for the entire duration.Vendors who pack up early will not be permitted to return for future events.

  • Vendors are required to bring their own tables, chairs, and any other display furniture or equipment needed to showcase their products effectively.

  • No pop ups or canopies are permitted indoors. 

  • Please ensure that the display does not damage floors or walls.

  • Vendors are responsible for leaving their booth space clean and free of litter, including removing any tape used to mark the area.

Safety & security

While reasonable precautions are taken, The Rotary Club of Shepherd, Shepherd Public Schools, the Maple Syrup Festival, and Village of Shepherd are not responsible for loss or damage to vendor property. The building will be locked at night, but outdoor areas are not guarded. We recommend doing what you feel is best to store and secure your products overnight. 

Pet policy

Except for service animals per ADA guidelines, no pets or animals of any kind are allowed (even temporarily) anywhere in or about the event location. Vendors found having pets on the premises will be asked to leave.

Signage

Any signage provided by The Rotary Club of Shepherd, Shepherd Public Schools, the Maple Syrup Festival and/or the Village of Shepherd is event property and must not be damaged, altered, or removed.

Advertising

The Rotary Club of Shepherd, Shepherd Public Schools, the Maple Syrup Festival, and Village of Shepherd may use photos of your products and/or business name and links in promotional materials for the event, including, but not limited to, online, print, and digital.

Photography, video, and multimedia

By participating in the event, you grant The Rotary Club of Shepherd, Shepherd Public Schools, the Maple Syrup Festival, and the Village of Shepherd the right to use photographs and video taken at the event, which may include you, your booth, and your products, for promotional purposes.

If you requested a specific spot, we made every effort to accommodate you but it was not always doable. You may have the same physical location as last year but the booth numbers may have changed. We tried to carefully place vendors to avoid having similar product categories directly next to each other.

Please note that the Rotary Club of Shepherd and Shepherd Maple Syrup Festival reserve the right to adjust booth placements as needed to ensure a successful event. If your specific placement is changed, we will reach out to you directly. We recommend all vendors check back to confirm their final location before the craft show begins.

Outdoor vendors-Check in, unload, park & set up instructions

Follow the instructions below.

E. Hall Ave, Shepherd, MI 48883
Enter off S. Chippewa Street and turn West onto E. Hall Ave (E. Hall is a school driveway).

Check in

  • Arrive at the scheduled time slot.  If you have not signed up for a check in time, please do so using the sign up form.

  • Provide the vendor booth location and number (example: Outdoor #1). Please have this information ready. 

  • The check-in coordinator will provide a confirmation ticket. Keep this handy to show volunteers.

  • DO NOT park, pull around others or unload until directed to do so by the check-in coordinator. 

Unload

  • Outdoor vendors may drive to the space to unload only but must move vehicles before setting up. With more than 200 vendors needing to unload, it is vital to unload quickly so everyone has a chance to do so.

  • Volunteers are available to watch over items or, if preferred, move them directly to the assigned booth location to help the process go smoothly.

Park

  • All vehicles and trailers not essential to display and/or service functionality must be moved to the designated parking area immediately after unloading.

  • Be advised that parking is extremely limited due to the high volume of festival visitors. Keeping front lot spaces open for shoppers directly supports the success of the event.

Set Up

  • After relocating the vehicle, return to begin set up. All booths must be ready for visitors by the 3 p.m. start time.

Indoor vendors-Check in, unload, park & set up instructions

Follow the instructions below.

Enter off S. 3rd Street and drive around the edge of the parking lot to the unload zone. 

Check in

  • Arrive at the scheduled time slot. If you have not signed up for a check in time, please do so using the sign up form.

  • Provide the vendor booth location and number (example: Main Gym #1). Please have this information ready. 

  • The check-in coordinator will provide a confirmation ticket. Keep this handy to show volunteers.

  • DO NOT park, pull around others or unload until directed to do so by the check-in coordinator. 

Unload

  • With more than 200 vendors needing to unload, it is vital to move through the line quickly so everyone has a chance to reach the zone.

  • Volunteers are available to watch over items or, if preferred, move them directly to the assigned booth location to help the process go smoothly.

Park

  • Move vehicles to the designated parking area immediately after unloading.

Help us increase foot traffic by spreading the word on social media! We encourage you to follow, tag, and share posts from our two primary Facebook pages: Shepherd Maple Syrup Festival and Rotary Club of Shepherd. When doing so, please do not use or alter the Rotary Club of Shepherd or Maple Syrup Festival images. Sharing the official event updates to your own followers is the best way to help us ensure a high turnout and a successful show for everyone!
